Job Description

General Definition of Work:


Performs intermediate skilled clerical and technical work requiring a qualified typist; provides secretarial services; does related work as required. Work is performed under regular supervision.

Essential Functions/Typical Tasks:


Serving as primary secretarial support to the department supervisor and staff; serving; serving as receptionist; preparing and maintaining a variety of files and records; assisting students and parents.

  • Composes and types letters, memos, reports, bulletins, requisitions, schedules and records.
  • Answers telephone and processes mail; opens front door for visitors, meets the public and provides information.
  • Screens visitors that come into the building and signs them in.
  • Operates, coordinates and maintains stock for copiers and other general specialized office equipment including computer, poster maker, laminator, etc.
  • Assists with the monitoring and maintenance of student attendance - receives absence notes, enters data, calls parents, sends attendance letters.
  • Performs a variety of office assistance tasks in the school office.
  • Performs related tasks as deemed necessary by the Principal.

Knowledge, Skills and Abilities:


Thorough knowledge of departmental routine; thorough knowledge of standard office practices, procedures and equipment; general knowledge of business English, spelling and arithmetic; ability to develop and follow detailed work procedures; ability to type accurately and operate general school office equipment; ability to meet the public effectively; ability to establish and maintain effective working relationships with other employees and the general public.

Education and Experience:


Any combination of education and experience equivalent to graduation from high school supplemented by courses in business, typing and bookkeeping and some experience in clerical work.

Physical Requirements:


This is sedentary work requiring the exertion of up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires climbing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
