Part-Time Assistant Archivist

Bryan-Lang Archives

FLSA: Non-Exempt

Pay: $12.50/hr

JOB SUMMARY

This position is responsible for assisting the Archivist in the administration of the Bryan-Lang Historical Archives, including day-to-day operations, staff management, research assistance, and preservation and management of archival holdings.

MAJOR DUTIES

  • Assists in the development, management, and operation of automated systems for the archives.

  • Performs support duties: assists with collection and building surveys to determine holdings and environmental needs; assists in monitoring and maintaining supplies, equipment, and reference materials; assists in monitoring documentation on treatment activities; assists in the maintenance of the building and physical environment in which materials are housed.

  • Assists in the editing and preparation of publications, as necessary.

  • Assists in training staff and volunteers, as necessary.

  • Maintains effective public relations with public organizations, private organizations, and governments; ensures that the positions, objectives, regulations, and policies of the archives are understood by the general public.

  • Assists in the arrangement and description of archives and manuscript collections.

  • Assists in the accessioning and de-accessioning of materials into and out of the collections: documents ownership status, condition, loan period, etc.; verifies contents of submitted documents; prepares materials for proper storage; annotates forms and systems with required information.

  • Assists in the arrangement, description, inventory, and cataloguing of records, published materials, and personal papers; produces appropriate in-house finding aids when needed.

  • Provides guidance and assistance to researchers: locates and retrieves materials, searches materials for requested inquiry, maintains correspondence file, advises and assists on both routine and complex inquiries.

  • Conducts special research projects as directed by the Archivist or the Archives Board.

KNOWLEDGE REQUIRED BY THE POSITION

  • Knowledge of library/archival science, principles, and practices.

  • Knowledge of reference methods, resources, and services.

  • Knowledge of the archives policies and procedures.

  • Knowledge of county history.

  • Knowledge of the community served by the archive.

  • Knowledge of the archives’ collections.

  • Skill in conducting research.

  • Skill in the use of computers for word processing, database creation, and specialized software relevant to the field.

  • Skill in public and interpersonal relations as well as in oral and written communication.

  • Skill in communications, both verbal and written, detail oriented, ability to work independently.

SUPERVISORY CONTROLS

The Archivist assigns work in terms of very general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results.

GUIDELINES

Guidelines include Bryan-Lang Archives standards and procedures. These guidelines require judgment, selection, and interpretation in application.

COMPLEXITY/SCOPE OF WORK

  • The work consists of varied archives management duties. The number of materials in the collection contributes to the complexity of the position.

  • The purpose of this position is to manage the functions of the Bryan-Lang Archives. Successful performance contributes to the collection, maintenance, and accessibility of archival records.

CONTACTS

  • Contacts are typically with co-workers, other county employees, librarians, archivists, historians, educators, curators, genealogists, museum directors, archaeologists, linguists, authors, land surveyors, and members of the general public.

  • Contacts are typically to give or exchange information, resolve problems, motivate persons, justify or settle matters, and provide services.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, stooping, bending, crouching, or walking. The employee frequently lifts light and heavy objects, climbs ladders, and utilizes the sense of smell.

  • The work is typically performed in an office or in records storage areas.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

  • Knowledge and level of competency commonly associated with the completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.

  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

  • Experience with the general operation of digital scanners and proficiency in Microsoft Office Suite.

  • Possession of or ability to readily obtain a valid driver's license for the type of vehicle or equipment operated.
