Executive Assistant to Entrepreneur

(Growth Path to Executive Operations Partner)

Location: Remote to start, transitioning into primarily in-person as operations expand (with flexible availability, including weekends)

Type: Full-time

Environment: Startup / high-growth

About the Role

We’re looking for a tech-savvy Executive Assistant to join a fast-paced startup environment and support a hands-on entrepreneur across multiple ventures. This isn’t a traditional EA role — it’s a unique opportunity to become a trusted right hand , growing into an Executive Operations Partner who helps scale operations, build systems, and shape the future of the business.

You’ll begin by handling executive/admin tasks, HR/payroll support, recruiting, meetings, technical setups, and organization of the entrepreneur’s personal task manager. Over time, you’ll expand into deeper operational ownership — automations, HR systems, recruiting operations, and process improvements.

Your mission: bring order to chaos, keep projects and priorities on track, and free the entrepreneur to focus on growth.

 

Responsibilities

Executive & Admin Support

• Manage the founder’s task manager and timelines in Tana .
• Keep daily and weekly priorities organized and actionable.
• Capture, structure, and track ideas, notes, and follow-ups.
• Prepare, send, and track NDAs, contracts, and other documents.
• Join meetings on behalf of the entrepreneur : take notes, capture action items, follow up, and represent priorities confidently.

Technical & Systems Administration

• Handle light tech tasks like Twilio A2P 10DLC registrations and Azure account setup.
• Manage SaaS seats/licenses, renewals, and permissions.
• Make workflow adjustments in tools like Asana.
• Configure automations and integrations using Zapier, Make, or Power Automate.
• Document systems and processes for repeatability.
• Research and learn new tools/systems as needed — without requiring constant step-by-step guidance.

HR, Payroll & Recruiting Support

• Coordinate onboarding and offboarding (accounts, access, documentation).
• Maintain HR records and compliance documentation.
• Process payroll inputs, track bonuses/commissions, and ensure accurate reporting.
• Support recruiting efforts : screening candidates, scheduling interviews, and running portions of the hiring process.
• Participate in interviews when needed, take notes, and provide structured feedback.

Content & Marketing Support

• Schedule and publish social media posts.
• Organize content libraries and repurpose materials into updates or snippets.

Workflow Design & Optimization

• Collaborate with the entrepreneur to design and implement high-efficiency workflows for entrepreneurial growth .
• Create repeatable checklists and templates for recurring tasks.
• Continuously refine systems to reduce friction and increase speed of execution.

 

Growth Path → Executive Operations Partner

As you take on more responsibility, you’ll grow into the Executive Operations Partner role, where you will:

• Own HR, payroll, compliance, and recruiting operations.
• Take broader ownership of meetings, partnerships, and internal communications.
• Build and manage automation workflows, API/webhook integrations, and system optimizations.
• Develop scalable processes that support business growth.
• Provide input on operations strategy and improvements.
• Act as the founder’s operator and right hand — ensuring execution, accountability, and follow-through across ventures.

• Weekend availability : comfortable supporting outside standard Mon–Fri hours when needed.
• Tech-comfortable :
  • Familiar with automation tools (Zapier, Make, Power Automate).
  • Rough understanding of APIs and webhooks (enough to configure, test, and follow documentation).
  • If you only have a basic understanding of these areas, that’s okay — the entrepreneur can teach you the rest as long as you are a self-starter who can learn quickly on your own.
• Organized & proactive : you see what needs to be done and act before being asked.
• Detail-oriented : nothing slips — tasks, renewals, compliance, or follow-ups.
• Work ethic that matches the entrepreneur’s : this is not a 9–5 role — you bring intensity, commitment, and follow-through at the same level as the person you’re supporting.
• Confident communicator : professional, concise, and able to represent the entrepreneur in meetings.
• Growth-minded : eager to move from EA into Executive Operations Partner .
